The Full Order Lifecycle

Nine stages. You are never more than one step from knowing where things stand.

Four of these stages are approval gates — production physically cannot advance past them until you have signed off. They exist so that a misunderstanding costs a sample, not a shipment.

Day 0–2

We review your product against real production constraints and tell you honestly whether it’s something we can make well. If it isn’t a good fit, we say so at this stage rather than later.

Send a tech pack, reference garment, photos, or simply a description — plus target quantity and target delivery date if you have one.

Costing & Quotation

Within 24–48 hours of a complete spec

We source fabric and trim options, build a costed breakdown, and present it with the lead time and MOQ attached — including where a spec change could protect your margin.

You

Review the quote and the material options. Ask for alternatives if the cost or the hand-feel isn’t right — this is the cheapest moment to change your mind.

Order Confirmation

Gate 1

We issue a proforma invoice setting out quantity, price, payment terms, delivery date and shipping terms. Your named merchandiser is assigned from this point.

You

Confirm the order and arrange the deposit. NDA is signed before this stage if design confidentiality applies.

Gate — nothing is purchased until confirmed

Material Approval

Gate 2 · ~1–2 weeks

We send physical swatches with test results — shrinkage, colorfastness, composition — and hold bulk fabric purchase until you approve.

You

Approve the swatch, or request an alternative. Fabric is typically the longest lead-time item, so a fast answer here protects your delivery date.

Sampling

Gate 3 · varies by complexity

VNA

We produce the pre-production sample against the approved materials and send it to you with measurement documentation. Revisions are made until it’s right.

You

Inspect the physical sample and either approve it or list what needs to change. This sample becomes the reference standard for the entire run.

Gate — bulk cutting blocked until PP sample approved

Production

The main run · duration per quotation

Your order is allocated to the best-suited line — our own floor or a specialist partner. Inline and midline inspections run throughout, with photo updates sent at agreed points.

You

Nothing required. You receive updates without having to chase them — and you’re told about a problem when it happens, not at shipment.

Final Inspection

Gate 4 · before packing is sealed

Full inspection against the agreed AQL, needle detection on 100% of units, measurement and packing checks. You receive the inspection report with photo evidence.

You

Review the report. You may also send your own inspector or an independent third party — we schedule around whichever you choose.

Gate — shipment held on any critical defect

Documentation & Shipping

After final approval

We prepare the commercial invoice, packing list, certificate of origin and any market-specific documentation, then coordinate loading with your freight forwarder or ours.

You

Settle the balance per the agreed terms and confirm your forwarder details, or ask us to arrange freight.

After Delivery

Your patterns, approved samples and inspection records are archived, so a reorder skips straight to production. If an issue surfaces after arrival, we trace it to the affected batch rather than disputing it.

Tell us how it sold and how it held up. A reorder needs only a quantity and a date — the specification is already on file.

If production runs late

You are notified as soon as the risk appears, with a revised date and the reason. Where a deadline is critical, we discuss options — partial shipment, air freight on the balance, or reallocating to another line in the network.

If quality fails inspection

The shipment is held, not sent with a note. Affected units are reworked or remade, and you receive the inspection report with photo evidence of exactly what failed and what was done about it.

If a defect is found after delivery

Because fabric lots, production lines and inspection records are traceable per order, we identify which units share the affected input rather than treating your whole shipment as suspect — then agree a resolution based on what the records show.

If your requirements change mid-order

Tell us as early as possible. We’ll tell you honestly what is still changeable at that stage, what it costs, and what it does to the delivery date — rather than agreeing and quietly missing the date.
